POSITION ANNOUNCEMENT

POSITION: Programs and Administrative Coordinator

LOCATION: Los Angeles, CA

BACKGROUND

For twenty-two years, Hispanas Organized for Political Equality® (HOPE) has been working to provide a critical voice to Latinas to develop their personal growth, prosperity, and political clout. Throughout the years, HOPE has served the Latina community with innovative programming that provides leadership development, statewide networking opportunities, experiential learning, and one-on-one interaction with local, state, and federal officials and agencies to both adult and high school age Latinas. To date, HOPE estimates that over 40,000 Latinas have been served by its programming. HOPE is a nonprofit, nonpartisan organization committed to ensuring political and economic parity for Latinas through leadership, advocacy, and education to benefit all communities and the status of women.

 

SCOPE OF WORK

Under direct supervision of the Director of Programs and Operations, the Programs and Administrative Coordinator will work in collaboration with HOPE staff to execute the registration of individuals attending HOPE’s two conferences and other events and will also support the Conference Manager in the execution of those events. The coordinator will also arrange all logistics and agenda items for the youth program. In addition, the Coordinator will be responsible for the timely processing of A/P and A/R and troubleshooting office equipment and purchasing of supplies.

 

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

Programmatic

Coordinates logistics for youth program orientations and sessions including, speakers, materials, rooming lists.

  • Maintains files and records of participants and youth affiliates and partners.
  • Conducts follow up calls and identifies reengagement opportunities for YLTLP alumnae.
  • Designs, conducts and tabulates participant’s evaluations.
  • Prepares and manages annual budget and expense plan for assigned program areas.
  • Updates and posts regularly on HOPE website and social media outlets with youth program events, news, and other as directed.
  • Recruits and fosters relationship with partnering organizations, sponsors and volunteers.
  • Prepares youth program mid-year and year-end reports for stakeholders.
  • Works and manages registration for conferences, and other events including tracking of registrants and fees, producing reports and managing registration volunteers.
  • Schedules meetings with high level or elected officials.
  • Supports programs in data gathering and literature review.

Administrative

  • Manages basic administrative functions necessary to keep the office operational, including mail and delivery services, equipment and supplies, coordination of packages.
  • Manages central database. Enters new contacts, deletes old records, change of addresses, and conducts address verification calls.
  • Responds to initial inquiries from public, and HOPE stakeholders.
  • Performs other programmatic and administrative duties as assigned.

Accounting

  • Prepares deposits (A/R) and invoices
  • Prepares check requests, and payment disbursements (A/P)
  • Supports the external audit annual process.
  • Maintains accounting filing system and overall organization of the office.
  • Supports Director of Operations with vendor relations, including but not limited to IT, accountant, and suppliers.

 

KNOWLEDGE, SKILLS AND ABILITIES

  • Minimum of one year of conference/event support experience and/or administrative experience. Minimum of one year support experience with youth program, child development, or similar. Minimum BA degree or comparable years of experience.
  • Superior written and oral communication skills. Excellent organizational skills and attention to detail.
  • Ability to use good judgment, take initiative, and make recommendations to solve problems.
  • Ability to work under pressure and meet deadlines. Creative and independent worker. Must have a good sense of humor and be able to work in a fast pace, high output environment.
  • Excellent customer relations skills.
  • Proficient with computers and ability to conduct research on-line.

 

WORKING CONDITIONS AND APPLICATION PROCESS

Full-time, exempt office based position that requires some travel and weekends as well as extra hours during peak periods. Salary range 33-35K and comprehensive benefits package, with medical, dental, paid vacation, sick day policy and retirement plan. Must be able to work on multiple projects in collaborative environment. Must have a valid California driver’s license and reliable transportation.
